Our commitment

Class Coach is an educational support service for students and the adults who support them. We collect only the information needed to provide, secure, improve, and bill for the service. We do not sell personal information or use student information for targeted advertising.

Information we collect

  • Account details such as a name, email address, password, account role, and support preferences.
  • Student information added by a parent, guardian, coach, or student, including classes, school details, schedules, goals, Sweeps, calendar items, and support notes.
  • Conversations and files intentionally provided to Class Coach, including Binder materials and images. Live Voice Chat audio is processed during the session and is not stored by Class Coach.
  • Information imported from connected services such as Canvas or Google when an authorized user chooses to connect them.
  • Subscription status and transaction details from Stripe. Class Coach does not store complete payment-card numbers.
  • Basic technical and security information such as device, browser, IP address, sign-in activity, and error logs.

How information is used

We use information to operate student workspaces, provide educational coaching and study tools, keep linked adults informed according to selected permissions, process subscriptions, prevent abuse, provide support, and improve reliability.

Google Classroom data

When a student connects Google Classroom, Class Coach requests read-only access to the student’s courses, published coursework, and the student’s own submission information. Imported information is used to show classes, assignments, due dates, submission status, grades, and progress inside Class Coach. Class Coach cannot create assignments, submit work, change grades, or manage a roster through these permissions. See Google Classroom Data Use for full details and deletion controls. Our use and transfer of Google API data follows the Google API Services User Data Policy, including its Limited Use requirements.

OpenAI and optional AI features

Class Coach uses OpenAI as a third-party artificial intelligence provider. Before the mobile app sends personal information to OpenAI, it identifies OpenAI, explains the information that may be sent, and asks the user for permission. The user may decline and continue using non-AI Binder storage and organization features.

When a user chooses and permits an AI feature, Class Coach may send OpenAI:

  • Messages the user types and relevant class, assignment, calendar, goal, or conversation context needed to answer the request.
  • Live microphone audio while Voice Coach or transcription is active. Class Coach does not store the live audio recording.
  • Binder files, worksheets, images, notes, or selected folder contents the user chooses to use for coaching, study tools, summaries, flash cards, practice, study plans, or date finding.

OpenAI processes this information only to provide the requested Class Coach feature. Class Coach does not sell this information or use it for targeted advertising. We require service providers, including OpenAI, to protect personal information with safeguards at least as protective as those described in this policy and to process it only for the services they provide to us. Connecting Google Classroom does not by itself send imported Classroom data to OpenAI. AI responses can be incomplete or incorrect and should be reviewed by the student or supporting adult.

Students and adult authorization

A parent, legal guardian, or other properly authorized adult should create and manage accounts for children who cannot legally consent on their own. Coaches, mentors, and school personnel must have appropriate authority before adding a student or connecting school information. A school-managed Google account remains subject to the school administrator’s policies. If you believe a child’s information was provided without proper permission, contact us so we can review and remove it.

Retention, security, and deletion

We use reasonable safeguards designed to protect account and student information. Google access tokens are encrypted at rest. Information is kept while an account is active and as reasonably needed for security, support, legal, or accounting obligations. Students can disconnect Google Classroom or disconnect and delete its imported assignments, submissions, grades, and course links while keeping their Class Coach workspaces and student-created work. A support-account owner can also delete individual student profiles or permanently delete the entire account from Parent Setup.

Your choices

You may review and change account information, disconnect connected services, remove students, or delete the account. Mobile users can withdraw permission for AI data sharing at any time in Settings. After permission is withdrawn, the app will not send new messages, audio, or selected Binder content to OpenAI unless the user grants permission again. Previously saved Class Coach content remains available until the user deletes it or the account. Contact [email protected] for privacy questions or help with a request.

Changes to this policy

We may update this policy as Class Coach changes. The current version and its effective date will remain available on this page.
